Data retention policy
The Data Retention and Disposal Policy is too long to paste here, here's a snippet:
4.2 Retention of Personally Identifiable Information (PII) and Personal Health Information (PHI)
All PII and PHI data shall be retained for as long as there is a business purpose (purpose for which the data was originally collected, as defined by the Privacy Policy) or a legal requirement to do so.
4.3 Retention of Customer Data
All active customer data shall be retained while the customer remains an active customer, and for up to 1 year after the customer ceases to be an active customer of CoffeePals Technologies Inc, unless the customer has requested the deletion of data. Active customer is defined as an organization in which at least 1 user is actively using the service. After 1 year of any organization's last activity in the service, all organization data (including users, teams, matches, analytics etc) shall be deleted.
The retention period of 1 year after the cessation of service must be explicitly stated in all customer contracts. All customer data, after the termination of a contract, must be retained per the contractual agreement between the customer and CoffeePals Technologies Inc.
Customer data retention policies may be implemented against customer data on an ad-hoc basis as may be agreed between CoffeePals Technologies Inc and the customer.

5.0 Data Disposal
5.1 Customer Data Disposal
Disposal of customer data will be carried out in accordance with the contractual agreement between CoffeePals Technologies Inc and the customer. In the absence of any contractual agreement, an automatic script or manual script (for ad-hoc requests) shall be initiated on any CoffeePals Technologies Inc platform containing customer data. This activates a full hard delete of customer data on the platform.
5.3 Other Data Disposal, Including CoffeePals Technologies Inc’s Business-Sensitive Information (BSI)
All electronic documents containing CoffeePals Technologies Inc’s BSI must be purged upon reaching its retention life span.
All printed material must be shredded prior to disposal.
Data storage policy
For our app for Slack, data security and privacy are top priorities. We store user data solely to provide the functionality essential to the app's purpose, retaining only the minimum information necessary to deliver value. Our data storage practices are aligned with industry standards, ensuring data is securely stored, encrypted, and access-controlled. Personal information, conversations, or messages are never stored or accessed beyond what's essential for the app’s core functionality, and we don't store sensitive information without user consent.
Our servers are hosted in a secure cloud environment that complies with regulatory standards such as GDPR and SOC 2. All data in transit is encrypted using TLS, and any data at rest is encrypted using AES-256. We also implement regular audits, monitoring, and logging to safeguard our systems
